Creating and sending an Invoice

Note: Before sending an invoice, we recommend you add a business logo.

An invoice is a standard tax document or agreement for provision of goods & services. There are three stages of an invoice to choose from (top right menu of a new invoice):

  • Send as quote (Quotation): Quote a customer for goods or services, expecting an order. When the quote is successful, the status can be changed to Invoice
  • Hold invoice open: Create an invoice but do not allow finalising just yet
  • Finalised invoice: A tax invoice issued to a customer ready for payment (also referred to as ‘posted’ or ‘closed’, but does not necessarily mean ‘paid off’)

There are three ways to begin creating a new Invoice:

  • Click on Create New + in the sidebar on the left side of the screen, then select Invoice.


 
  • Or, click on the Sales drop-down menu on the left side of the screen. Select Invoices, and then select + Add Invoice in the top right.


 
  • Or, select + Add Invoice while you are viewing a Customer.


 

Creating an Invoice

1. Assign a Customer to the Invoice. Select a Customer search for the relevant Customer.
2. Fill in the invoice information including:



 

  • Invoice Date is set to the current date by default. Update if needed.
  • Choose a Price Item as. Read Setting up Customer Types for more information on different prices per Customer Groups.


 

3. Add your first item to the invoice by selecting + Add Line Item. You can search for items in your Inventory by using either the description or the item code. You can add as many line items as you need. Read Adding an Inventory Item for more information.



 

4. (Optional) add a discount: You can add a discount to the price by selecting + Add Discount.





 

5. (Optional) add a customer message: You can add a personal note by writing in this box or choosing a pre-written invoice note. If you write a note and want to save it for later use, select Save Message Template.



 

6. When you’re done, you can Save Draft, Hold invoice openSend as quote or Finalise and Send the invoice. You can also Finalise and Mark as sent if you would like to deliver the invoice using another method than email, and print or download the invoice in various formats by selecting the download icon in the top right.
